Accountant
View a client file as an accountant
Check documents by quarter, follow accounting exports and view integration and contact details.
Updated on October 7, 2026
The file dashboard shows one client administration's final sales and purchase documents, accounting exports, integration and contact details. You need access to the active accountant profile and the file must be linked to it. The name, VAT number and city at the top identify the client.
Quarter and totals
| Field or setting | Meaning |
|---|---|
| Quarter | Determines which documents appear in the totals and list, based on their document date. The current quarter is selected initially; earlier quarters with documents are also available. |
| Purchase documents | The number of final purchase invoices and purchase credit notes in the selected quarter. |
| Sales documents | The number of final sales invoices and sales credit notes in the selected quarter. |
| To export | The number of documents in the quarter not yet recorded as exported, including documents whose export failed. |
Totals follow the quarter and do not change when only the document filter changes. Drafts are excluded. To be exported in the file list has a narrower meaning: it counts only documents with an automatic export date already set.
Documents
The list initially shows To export. All also includes exported documents; Failed restricts the list to documents whose last accounting export attempt failed. A failed-export notice appears when relevant. View documents selects Failed and expands the document section.
| Column | Meaning |
|---|---|
| Document | The purchase or sales direction, document number and customer or supplier. The list includes invoices and credit notes. |
| Date | The document date, which also determines its quarter. |
| Amount | The document amount including VAT. Credit notes appear as negative amounts. |
| Export status | Indicates whether accounting export is outstanding, recorded or failed. |
| Status | Meaning |
|---|---|
| To export | The document has not yet been recorded as exported to accounting. |
| Export on … | An automatic export date is scheduled, but the document has not yet been recorded as exported. |
| Failed | The last export attempt failed and the document has not yet been recorded as exported. |
| Sent | An accounting export has been recorded. Check processing in the receiving accounting package when you need certainty that it has been included. |
An empty list may mean the quarter has no documents or none match the selected filter. Choose All to check the entire quarter. The count below follows the filter.
Actions
| Action | Effect |
|---|---|
| View PDF | Opens the latest available PDF in a document window without opening the client administration. If no PDF is available yet, the action cannot display a document. |
| Export now | Requests accounting export for this document and then refreshes the dashboard. Processing happens in the background. The action is disabled when no accounting software is linked. |
| Open file | Creates accountant access or activates existing access and switches to the client administration in the same tab. You then work in that administration. |
Important: Export now starts a transfer to the configured accounting integration. Check the client, document and destination beforehand, including when selecting an already exported document again. The export-requested message does not confirm successful processing.
After Open file, check the active client name before changing client data. The same action from the file list opens the client administration in a new tab.
Accounting integration
| Field or setting | Meaning |
|---|---|
| Software | The accounting integration configured for the client administration. None means no export destination is linked. |
| Mailbox addresses by document type and format | With Mailbox, destinations appear for sales invoices, sales credit notes, purchase invoices and purchase credit notes, each in PDF and UBL. A dash means no address has been entered for that destination. |
These details are read-only. The entered destination determines where the export is sent; change the integration in the client administration when a destination needs updating.
Contact details
| Field or setting | Meaning |
|---|---|
| Company | The name of the client administration's default trade name. |
| Email address | That trade name's email address for contacting the client. |
| Phone number | That trade name's phone number. |
Contact details are read-only; a dash means no value has been entered. The contact section starts collapsed. On smaller screens, documents and accounting integration also start collapsed.
