Connect Billnado to Clearfacts via Mailbox
Find the Clearfacts purchase and sales input channels, configure Mailbox in Billnado and check receipt and automatic forwarding.
Updated on October 22, 2026
Mailbox delivers invoices and credit notes from Billnado to the digital inboxes of your Clearfacts dossier. You need access to the Billnado administration and your accountant’s Clearfacts portal, or your accountant can provide the dossier addresses.
Step 1: copy your Clearfacts dossier’s input channels
Open the correct dossier in Clearfacts. Click your name at the top right and open the dossier settings (Dossierinstellingen in the Dutch interface). Under general settings and input channels (Algemeen > Invoerkanalen), you will find the unique email addresses for your dossier. Clearfacts help also calls this section E-mail.
Copy the purchase address (Aankoop) and sales address (Verkoop). Preserve uppercase and lowercase letters exactly. For invoices, use the specific inbox rather than the general address or the destination for miscellaneous documents.
| Billnado fields, for both PDF and UBL | Clearfacts destination |
|---|---|
| Email for sales invoices | Use the sales input channel of the same dossier. |
| Email for sales credit notes | Use the sales input channel; agree credit note processing with your accountant. |
| Email for purchase invoices | Use the purchase input channel of the same dossier. |
| Email for purchase credit notes | Use the purchase input channel; agree credit note processing with your accountant. |
The Clearfacts help on submitting documents by email describes supported PDF and UBL/XML files. PDFs must not be password-protected. The mailbox limit is 20 MB.
Step 2: configure the destinations in Billnado
Open the correct administration in Billnado and go to Settings > Integrations > Accounting. Select Mailbox under Accounting software.
For each document type, enter the Clearfacts address in both (PDF) and (UBL) fields, following the table. Clearfacts uses the same inbox for both formats; Billnado exports one file, giving priority to a suitable UBL and otherwise sending the available PDF.
Choose the Deferral period for automatic export. Set Maximum attachment size below the receiving mailbox’s limit, leaving room for the total email size. The default of 2 MB is stricter than the Clearfacts mailbox limit. Agree Only send UBLs that are PEPPOL-compliant for sales documents with your accountant; this choice does not send anything through Peppol.
Step 3: check processing and save
Check that all addresses belong to the same business and that purchases and sales are correctly assigned. Choose Save to activate Mailbox.
Clearfacts can automatically forward received documents to your accountant. In the input channels, the Dutch interface calls these options Auto-forward aankoopfacturen and Auto-forward verkoopfacturen. Let your accountant decide whether this processing is appropriate; the Billnado connection does not require you to enable these options.
Note: when automatic forwarding is enabled, submitted documents may go straight into processing. Check this dossier setting before exporting documents.
Step 4: check receipt in Clearfacts
Together with your accountant, choose one document that has not yet been submitted. Check it using the eye icon in the Billnado document list and choose Export. This actually delivers the document to Clearfacts.
Find it in the correct inbox or, with automatic forwarding, among documents being processed. The document history (Documenthistoriek in Dutch) helps you find the submission. Compare the document number, amount and purchase or sales classification before sending other documents.
Daily use and troubleshooting
Mailbox delivers documents to Clearfacts; postings, corrections and payment statuses from Clearfacts do not return to Billnado through this method.
If a document is missing, check the exact spelling of the address, dossier, inbox, file size and any PDF password protection. Also check whether automatic forwarding has already moved the document into processing. Export it again only after checking receipt.
Select None under Accounting software and save to disable future automatic exports. This does not retrieve documents already delivered to Clearfacts.
