View active and future licences and usage, manage renewal and plan preferences, and check purchases, upgrades and credit.
Updated on September 7, 2026
My licence shows the licence, usage and renewal settings for the active administration. You need access to that administration, including when its licence has expired. Purchase and renewal actions are available when your provider supports self-service. Depending on your offer, you see plans with document allowances or the earlier plans with document limits.
Active licenses
The information in this card is read-only.
| Field or setting | Meaning |
|---|---|
| License | The plan that applies to the administration today. |
| Expiration date | The last day of the current licence. No end date means the licence has no expiry date and does not require automatic renewal. |
| Document usage | Recorded usage of purchase and sales invoices and credit notes, excluding drafts. For a plan with a document limit, usage is shown against the limit, including any additional documents granted. |
| User consumption | The number of activated, visible users in the administration. This is a usage count, not a monetary amount. |
Without an active licence, the usage counters remain visible and a message appears. Choose Purchase License when self-service is available. Otherwise, the message names the provider you can contact.
Already purchased licenses
This section appears when licences have a future start date. A purchased licence may therefore not yet be the active licence.
| Field or setting | Meaning |
|---|---|
| License | The plan purchased for the future period. |
| Start date | The first day on which this licence applies. |
| Expiration date | The last day of the future period, or No end date when there is no expiry date. |
Plan preference
For the document-bundle offer, plan cards appear when automatic renewal is enabled and your provider supports self-service.
| Field or setting | Meaning |
|---|---|
| Month and Year | Determine the displayed billing period, fixed price and document allowance. If a paid-plan preference already exists, changing the period immediately saves it as a preference. |
| Plan | Shows the name of the offered plan. Flex has no fixed subscription fee; document usage is chargeable. |
| Price and Excl. VAT | The fixed fee for the displayed month or full year, excluding VAT. The card states the billing frequency. |
| Document allowance | The number of included documents per month or year. Compare the allowance for the selected period. |
| Per additional document | The rate for documents above the included allowance. With Flex, every document is charged. |
| Your preference | Marks the saved plan and period. This is a preference and does not identify the licence active today. |
Choose this plan saves your preference immediately; there is no separate Save button. Flex uses a monthly billing period. You can change a preference again by selecting a different plan or period. The message about a different preference highlights the difference from your existing licence. Check the current plan under Active licenses and future periods under Already purchased licenses.
The card indicates when no plans are available. If a reseller fully manages and bills your licence, contact that reseller for licence prices.
Renewal
The Renewal card appears when the licence ending last has an expiry date. Already purchased future periods are included in this assessment.
| Field or setting | Meaning |
|---|---|
| Expected renewal date | The expected time when the next licence is prepared: seven days before expiry. The next period starts the day after the expiry date. Trial licences are not renewed automatically. |
| Manual | No expected automatic-renewal date is available. |
| Available to buy from | Appears for the document-bundle offer when automatic renewal is disabled. Manual renewal is offered from one week before a monthly licence ends or one month before an annual licence ends. |
| Monthly, Yearly and Disabled | For the earlier offer, these statuses indicate whether renewal is enabled and which period is configured. |
Without automatic renewal, the document-bundle offer displays the expiry date and, shortly before expiry, the number of days remaining. Use this date to arrange your next licence in time.
| Action | Effect |
|---|---|
| Buy next licence | Opens the purchase page once manual renewal is available and automatic renewal is disabled. |
| Enable auto-renewal | For the document-bundle offer, the setting is saved immediately based on the latest licence and its monthly or annual period. For the earlier offer, a window first opens with Extension Period; select Monthly or Yearly, then To confirm. Cancel closes the window without changing the setting. |
| Disable automatic renewal | Stops future automatic renewal. For the document-bundle offer, this is saved immediately; for the earlier offer, you first confirm the prompt. Purchased licences remain in place. |
Important: automatic renewal authorises the automatic purchase and charging of subsequent licences. Before disabling it, check Already purchased licenses: disabling renewal does not cancel a period already created.
Buying a licence
For the document-bundle offer, Purchase License opens Buy a new licence. The action is also available when you have no active licence or want to move from Flex to a paid plan. Choose a plan there and then confirm the purchase. Opening the purchase page alone buys nothing.
For the earlier offer, Purchase License opens a purchase window when no licence is active or during the last month of the last purchased period. Plans with a document limit too low for recorded usage are not offered.
| Field or setting | Meaning |
|---|---|
| Plan and Select | Chooses the plan for purchase. Cards show the document limit, unlimited users and fixed price excluding VAT. Unlimited is initially selected when available. |
| Period | Selects Month or Year from the periods offered by the plan. The window starts with an annual period when available. |
| Used credit | Credit deducted from the purchase price. This appears only when credit is applied. |
| Price excl. tax | The calculated purchase amount after applying credit. An ellipsis appears during calculation; purchasing is unavailable without a calculated price. |
Choose Purchase License to confirm the purchase or Cancel to close the window. The new licence starts the day after the existing period, or today if no current or future period remains.
Important: Purchase License confirms an actual purchase and applies available credit. Check the plan, period and amount before confirming.
Upgrading the current licence
For the earlier offer, Upgrade current license appears when another suitable plan is available. The window shows permitted upgrades that accommodate usage. Downgrading the current plan is not possible.
The plan cards and Used credit have the same meaning as for a purchase. There is no new period selection: the upgrade retains the existing period. Price excl. tax accounts for the price difference, remaining term and available credit. The expiry date of a current licence with an end date is retained.
Choose Upgrade license to replace the active licence, or Cancel to close the window.
Important: an upgrade replaces the active licence and may incur charges. Check the new plan, calculated price and applied credit before confirming.
Credit
This card appears for the earlier offer. Its fields are read-only.
| Field or setting | Meaning |
|---|---|
| Current Credit | Available monetary credit that can be applied to purchases through the window, upgrades or automatic renewal. |
| Free Additional Documents | Additional document credit granted to the administration. This appears only when additional documents are available and is not a monetary balance. |
