Connect the Mail2EOL receiving addresses to Billnado, agree PDF and UBL processing with your accountant and check receipt in Exact Online.
Updated on October 22, 2026
Mailbox delivers invoices and credit notes from Billnado to Exact Online by email. You need access to the Billnado administration and the Mail2EOL receiving addresses of the correct Exact Online administration. Your accountant confirms whether the Exact subscription supports email delivery and the required processing.
Step 1: have the Exact Online receiving addresses confirmed
Ask your accountant for the purchase and sales email addresses of your administration. Also confirm which address to use for credit notes and for PDF or UBL/XML. Copy the complete addresses; do not derive them from an administration name or number.
Exact calls email delivery Mail2EOL. Available delivery and automatic processing depend on the subscription and administration setup. The Exact explanation of client administrations describes these options.
Ask your accountant to check whether the senders Billnado uses for accounting exports must be authorised. Use the actual Billnado export senders; your personal email address is not necessarily the sender of these messages. Billnado support can help confirm the addresses used.
Step 2: assign the addresses to document types in Billnado
In the correct Billnado administration, go to Settings > Integrations > Accounting and select Mailbox under Accounting software.
| Billnado fields, for both PDF and UBL | Exact Online destination |
|---|---|
| Email for sales invoices | Use the address your accountant confirms for sales invoices and the relevant format. |
| Email for sales credit notes | Use the confirmed address for credit notes in the sales administration. |
| Email for purchase invoices | Use the confirmed address for purchase invoices and the relevant format. |
| Email for purchase credit notes | Use the confirmed address for credit notes in the purchase administration. |
Complete the PDF and UBL fields separately. If Exact uses the same address for both formats, enter that address in both fields. Do not use a purchase destination for sales documents.
Billnado exports one file: a suitable UBL takes priority; otherwise, the available PDF is sent. Check that Exact can process both the UBL destination and the PDF fallback.
Step 3: configure the export conditions and save
Choose Deferral period for automatic export. Match Maximum attachment size to the receiving Exact service; Billnado’s default limit is 2 MB. Consider both the file and total email size.
Only send UBLs that are PEPPOL-compliant restricts which UBL is selected for sales documents. It does not enable Peppol delivery or prevent the PDF fallback.
Check the active business, addresses and authorised senders. Then choose Save.
Note: activation may start automatic delivery for eligible documents. When switching, agree which documents your accountant will start processing through the new channel to avoid duplicate submissions.
Step 4: have one delivery checked in Exact Online
Choose a document not yet present in Exact, check it using the eye icon in Billnado and choose Export. This sends the document to the configured destination.
Ask your accountant to check in the receiving Exact Online administration that the document arrived, reaches the correct purchase or sales journal and can be processed correctly. Check the document number, contact, amount and whether a credit note is recognised as a credit note. The export record in Billnado does not confirm final posting in Exact.
Daily use and troubleshooting
Mailbox delivers documents to Exact Online in one direction. Postings, corrections and payment statuses do not return to Billnado through this method.
If a document is missing, check the administration address, authorised sender, format requirements and file size. If it has arrived but is not yet posted, have its processing checked in Exact. Check existing delivery before exporting again.
Select None under Accounting software and save to disable future automatic exports. This does not delete received documents from Exact Online.
