Connect Billnado to Basecone via Mailbox
Configure the Basecone administration address in Billnado and check document recognition, UBL and the available PDF preview.
Updated on October 22, 2026
Mailbox delivers invoices and credit notes from Billnado to your Basecone administration. You need access to the Billnado administration and the unique Basecone email address for the same business. Your accountant decides how documents are recognised, checked and posted in Basecone.
Step 1: request the unique Basecone address
Ask your accountant for the email address of the correct Basecone administration. The standard address combines the office code with the administration code and ends in @mailtobasecone.com. An office may also use its own receiving domain. Always copy the complete existing address.
One administration address can receive several document types. Basecone supports subject tags such as [INK] and [VRK] for purchases and sales. Billnado’s Mailbox settings only contain destination addresses, with no setting for these tags. Agree how your accountant will check the document type in Basecone.
Step 2: configure the destinations in Billnado
Go to Settings > Integrations > Accounting in the correct administration. Select Mailbox under Accounting software.
| Billnado fields, for both PDF and UBL | Basecone destination |
|---|---|
| Email for sales invoices | Use the unique Basecone administration address for your sales invoices. |
| Email for sales credit notes | Use the same administration address and ask your accountant to check recognition as a sales credit note. |
| Email for purchase invoices | Use the same administration address for supplier invoices. |
| Email for purchase credit notes | Use the same administration address and ask your accountant to check recognition as a purchase credit note. |
Enter the confirmed address in the eight PDF and UBL fields. Billnado sends one file per document, preferring a suitable UBL and otherwise sending the available PDF.
A PDF embedded in a UBL enables visual checking in Basecone. Basecone also states that XML without PDF can be processed, but without an invoice preview in the posting screen. Check with your accountant whether the submitted file provides the desired view. The Basecone explanation of PDF with UBL describes these differences.
Step 3: save the export settings
Set Deferral period to the agreed number of days before automatic delivery. Choose a Maximum attachment size within Basecone’s receiving limits; Billnado defaults to 2 MB.
Agree Only send UBLs that are PEPPOL-compliant for sales documents with your accountant. A valid UBL does not remove the need to check automatic recognition as a purchase, sale or credit note.
Check the office, administration and address. Choose Save.
Note: activation also determines future automatic exports. Check which documents are already in Basecone before starting the new delivery channel.
Step 4: check one document in Basecone
Together with your accountant, choose a document not yet submitted. Check it using the eye icon in the Billnado document list and choose Export. This actually sends the document.
Ask your accountant to find it in Basecone and check its number, amount, type and readability. For UBL, also check whether an invoice preview is available. A receipt confirmation from Basecone, if provided, and final posting are separate things.
Daily use and troubleshooting
Documents are delivered after the deferral period and then processed in Basecone. Mailbox does not retrieve postings, corrections or payment statuses into Billnado.
If a document is missing, check the administration address, file size and receipt in Basecone. If its type is incorrect or its preview is missing, ask your accountant to check recognition and the submitted format. Do not send an additional separate PDF without agreement: it may create a second document.
Select None under Accounting software and save to disable future automatic exports. Documents already received remain in Basecone.
